Job Description

Day-to-day manage and look into overall view of Logistic/ Finance & Accounting/ Administration/HR for all Depot offices related to 7 Diamonds Project to ensure appropriate control are in place

  • Logistic:
    • Manage effectively the Logistic service for Depots to ensure smooth and efficiency transaction process of cigarettes stocks so as to have a proper control over stocks, warehouse management and cost saving purpose in transportation
  • Finance & Accounting:
    • Manage effectively the Logistic service for Depots to ensure smooth and efficiency transaction process of cigarettes stocks so as to have a proper control over stocks, warehouse management and cost saving purpose in transportation
    • Overall manage sales invoice/ billing process to sell directly cigarettes to distributors. Working closely with Distributors for Credit limit strictly applied and A/R reconciliation & monitoring
    • Manage all activities of financial/accounting function Regional office so as to ensure the financial accounting function is providing efficient and effective financial and value added support to the company’s operations
    • Ensure the accounting books and records are properly maintained, conform to generally accepted accounting practices and in compliance with the company’s policies and procedures
    • Ensure payments are supported by proper documents and authorizations, and made in accordance with the company’s policy and to the best advantage of the company in terms of the credit period extended by the suppliers
    • Monitor all fixed assets in regional & provincial offices and liaise with HQ Finance department on tracking these assets
  • Administration:
    • Supervise the provision of standard office administrative services to ensure the effective office operation; including but not limited to: Internal mail and communication, External courier and parcel service, Stationary ordering and monitoring, Travel services arrangements, Office equipment maintenance/ office cleaning
    • Arrange and review or coordinate with Legal to review all contracts to make sure all contract with third parties will operate on the following lines of approach: ensure an appropriate legality and financial arrangement; ensure appropriate contract signing authority limits; and ensure appropriate contract administration manage. Make sure that contract policy is to be observed and applied strictly
  • HR
    • Manage & monitor the implementation of Human Resource procedures for Depot offices

Job Requirements

  • Education:
    • Preferably Business graduate
  • Experience:
    • Preferably not less than 1-year-experience in tobacco or similar FMCG category.
    • Sound knowledge, rich experience of the administrative jobs and strong background of accounting/finance, high potential capability in logistic management
  • Languages:
    • Good level of English writing and speaking ability (Upper Intermediate)
