Job Descriptions

  • Maintain the strictest confidentiality on all matters relating to Marriott International and Sheraton Saigon Hotel & Towers, plus all other internal matters of the General Manager’s Office
  • Provide full secretarial assistance – preparation of general correspondence, handling telephone calls, organising appointments
  • Provide secretarial support to other Executive Committee as needed
  • Liaise with Executive Committee, Department Heads and Associates for necessary follow up on queries/ deadlines/ requests and special functions instigated by the General Manager’s office
  • Liaise with Executive Committee and Department Heads to ensure reporting deadlines to Regional office are met
  • Co-ordinate and compile General Manager’s Monthly Report and Mirage Monthly Management Report for General Manager’s input and review
  • Co-ordinate travel arrangements for General Manager, Executive Committee and Associates as requested
  • Process the Guest Questionnaires, including review of responses prior to General Manager’s review and signature
  • Prepare responses to guest correspondence for General Manager’s review and signature, as needed
  • Co-ordinate Welcome Letters/ Notes for all VIPs and Guest History guests, and ensure appropriate welcome amenities in place
  • Co-ordinate Welcome Letters for Conference VIPs
  • Handle VIP accommodation/ restaurant reservations
  • Co-ordinate accommodation bookings at other Starwood properties for hotel guests and patrons, as requested
  • Maintain an efficient filing and trace system
  • Undertake additional duties as requested by the General Manager and Hotel Management

Job Requirements

  • Must be fluent in English
  • At least 3 year experience in similar position
  • Self-starter, well-organized, extremely detail-oriented, and assertive team player willing to take ownership of responsibilities, and possess a high level of positive energy and drive
  • Able to manage multiple priorities and set appropriate trace systems to track projects and work
  • Due to the confidential nature of the General Manager function, absolute discretion must be exercised with all documents and information
  • Excellent time management, organizational, coordination, and communication skills (verbal and written)
  • Possess excellent computer skills
